How to Create and Manage To-Dos in Buildern

The To-Do feature in Buildern helps teams organize tasks, assign responsibilities, and track progress in one centralized place. This guide explains how to create and manage a To-Do list for your team in Buildern.


Create a To-Do Task

To get started, open the project you want to work on and click on the To-Dos module from the left-side menu.

Buildern allows you to manage tasks using two main views:

  • List View – Best for managing and editing task details.

  • Calendar View – Helps visualize tasks based on their due dates.

From there, you can create a new To-Do task.

You have two options:

  • Create To-Do – Create tasks from scratch.

  • Import – Import tasks from another application or copy them from another project or template.

Create To-Do tasks manually

Add the task details

On the To-Do edit page, fill in the required information for the task.

You can configure the following fields:

1) Basic Information

These fields define the core details of the task.

Name – Enter a clear and descriptive name for the task.

Parent To-Do – Link the task to another To-Do to organize tasks hierarchically.

Assignee – Select the team member responsible for completing the task.

2) Task Priority and Deadline

Set the urgency and due date for the task.

Priority - Choose the urgency level for the task:

  • Low

  • Medium

  • High

Due Date – Set the deadline for completing the task.

3) Organization Tools

Use these options to categorize and structure tasks.

Labels – Add labels to categorize and organize tasks.

Reminder – Enable reminders to notify team members about upcoming deadlines.


​4) Additional Information
​

These fields allow you to provide more context for the task.
​

Attachments – Upload files from your computer or select documents from Project Files.

Description – Provide additional information or instructions related to the task.


​5) Task Collaboration
​

Buildern also allows teams to collaborate directly inside a task.
​

Subtasks – Break down a larger task into smaller, manageable steps.

Comments – Communicate with team members within the task.

ℹ️ Note - When a comment is added, the assignee receives a notification in Buildern and via email, ensuring they are informed about updates and discussions related to the task.

Tasks with a due date can also appear in the Calendar View, helping teams visualize upcoming deadlines and coordinate work with the project schedule.

Set task privacy

If needed, you can make the task private.

When a task is marked as private, it will only be visible to:

  • The task creator

  • The assigned team member

To enable this option, simply check the Private box while creating the To-Do.



Create the task

Once all details are added:

  1. Click Save.

The task will immediately appear in the To-Do list for the project.

Manage and Update To-Do Tasks

After a task is created, it can be edited and updated directly from the To-Do list.

From the list view, you can modify task details such as the name, description, assignee, priority, due date,status, labels, and attachments. Subtasks can also be edited from the same page.

To open the task details, simply double click on the task name.

You can also quickly add a new task directly from the list. At the bottom of the list, click Add new line to quickly create a new To-Do without opening the task creation window.

This option allows teams to rapidly add tasks while reviewing or managing existing ones.

Update Task Status

Each To-Do item has a status that indicates its current progress.

You can update the task status in two ways:

  • Click the circle icon under the Name column to mark the task as complete.

  • Manually change the Status field from the task details.
    ​

By default, Buildern provides the following statuses:

  • Not Started

  • In Progress

  • Complete

  • Pending a Vendor

These statuses help project managers quickly understand the progress of tasks across the project.


Create Custom Task Statuses

Buildern also allows you to create custom statuses to match your team’s workflow.

To add a new status:

  1. Click Add New in the Status dropdown.

  2. Enter the name of the status.

  3. Select a color for visual identification.

  4. Click Save.

Custom statuses allow teams to better represent different stages of work within their projects.


Additional Task Actions

Each task also includes additional management options.

Click the three dots menu (β‹―) next to a task to access the following actions:

  • Edit the task

  • View task details

  • Add a subtask

  • Duplicate the task

  • Copy the task to another project

  • Add watchers

  • Mark the task as complete/Not Started

  • Delete the task

These quick actions help you manage tasks efficiently without leaving the To-Do list view.

Filter and Search To-Dos in List View

The List View includes a filter bar that helps you quickly find specific tasks within your project.

Using these filters, you can narrow down the task list based on different criteria.

Available options include:

  • Search – Find tasks by typing keywords from the task name or description.

  • Assignee – Display tasks assigned to a specific team member.

  • Status – Filter tasks based on their current progress status.

  • Label – Show tasks associated with a specific label.

  • Priority – View tasks based on their priority level.

  • Date – Filter tasks by their due date.

On the right side of the toolbar, you can also use additional actions:

  • Download – Export the To-Do list.

  • Column Layout – Show or hide columns to customize how tasks appear in the List View.

These filters help project managers and team members quickly locate tasks and focus on the work that matters most.

At the top right of the List View, you can quickly create new tasks or import existing ones.
