How to View and Manage Bill Statuses in Buildern

Bills go through several stages throughout their lifecycle, from creation and approval to payment and completion. In this article, you'll learn about bill statuses, available bill actions, and how to manage bills throughout the payment process.


📋 Requirements

Before you begin, make sure:

  • You have access to Buildern.

  • You have permission to view and manage bills.

  • At least one bill exists in your project.

Understanding Bill Statuses

Buildern automatically assigns statuses to bills based on their current stage in the workflow.

Draft - Draft bills have been created but have not yet been approved.

These bills can still be reviewed, edited, and updated before moving forward in the approval process.

Approved - Approved bills have been reviewed and are ready for payment.

Once approved, the bill can proceed to the payment stage.

Paid - Paid bills have been fully paid to the subcontractor or vendor.

This status indicates that no outstanding balance remains on the bill.

Partially Paid - Partially Paid bills have received one or more payments, but the full bill amount has not yet been paid.

Overdue - Overdue bills have passed their due date and remain unpaid or partially paid.

This status helps identify bills that require immediate attention.

Imported Needs Review - This status is assigned to bills imported from a connected accounting system.

These bills require review before they can be finalized and processed within Buildern.

💡 Tip - Carefully verify imported bill information before approving the bill.

Email Needs Review - This status is assigned to bills received through Buildern's email forwarding functionality.

These bills require verification and review before approval.

💡 Tip - Review attachments, vendor information, and bill amounts before approving emailed bills.


View Bill Statuses

Bill statuses and available actions can be accessed from either a specific project or from the Bills section under All Items.

Method 1: From a Project

  1. Open the project.

  2. Navigate to Bills.

  3. Locate the desired bill.

  4. Review the bill status displayed in the Status column.

Method 2: From All Items

  1. Navigate to All Items > Bills.

  2. Locate the desired bill.

  3. Review the bill status displayed in the Status column.

Click the ⋯ (three-dot menu) to access actions that may update the bill status.

Actions such as Approve, Mark as Paid, and Record Payment will update the bill's status based on the action performed.
