Once a timesheet is created, you can edit and modify it at any time using the action menu.
This menu provides several actions that allow you to update details, review information, approve or reject hours, duplicate entries, and manage billing-related options.
Accessing the Action Menu
Navigate to Timesheets > Time Cards.
Locate the timesheet you want to modify.
Click the three-dot (⋯) menu on the right side of the row.
Select the desired action from the dropdown.
The dropdown menu includes the following options:
Edit
View
Add Comment
Duplicate
Approve/Reject
Watchers
Change Project
Create to Client Invoice
Add To Client invoice
Push to QBO/Xero (if integration is enabled)
Delete
Below is a detailed explanation of each option.
Menu Options Explained
1. Edit
Timesheets can be edited if changes are needed (for example, correcting hours, adding cost codes, or updating details).
Once the Edit Time Clock screen opens, you can modify any of the timesheet details as needed. All fields are editable, allowing you to update work hours, project information, cost details, labels, breaks, descriptions, and attachments.
After making changes, tap Save.The updated timesheet will reflect the new information immediately.
2. View
Opens the timesheet in read-only mode.
This allows you to:
Review logged hours
Check assigned cost codes
See labels and attachments
View status and billing details
No changes can be made in View mode.
3. Add Comment
Allows you to leave internal comments on the timesheet.
This is useful for:
Clarifying logged hours
Requesting corrections
Internal communication between team members
Comments are saved within the timesheet record for reference.
4. Duplicate
Creates a copy of the selected timesheet, allowing you to quickly duplicate previously entered data. This option is useful when logging similar hours on another date, repeating work entries, or reducing manual data entry.
After duplicating the timesheet, you can review and edit the copied entry before saving it.
5. Approve/Reject
Approve changes the status of the timesheet to Approved, allowing it to move forward in the payroll and invoicing workflow.
Reject changes the status to Rejected and is typically used when hours were entered incorrectly, required information is missing, or adjustments are needed. Rejected timesheets can usually be edited and resubmitted for approval.

6. Watchers
Allows you to add or manage watchers for the timesheet. Watchers receive notifications about updates, can track changes and comments, and stay informed about the entry without being assigned to it.
7. Change Project
Reassigns the timesheet to a different project. This option is useful when time was logged under the wrong project or when administrative corrections are required to ensure accurate job costing and reporting.
After changing the project, make sure cost codes align with the new project structure.
8. Create to Client Invoice
This option allows you to generate a Client Invoice directly from the timesheet. By converting logged hours into a billable invoice, you can streamline your billing workflow, reduce manual data entry, and ensure that recorded labor time is accurately reflected in client billing.
9. Add To client invoice
Allows you to associate the timesheet with an existing invoice or financial document. This helps consolidate billing, ensure accurate job costing, and link recorded labor hours directly to previously created client invoices.
ℹ️ Note: Create to and Add to actions are available only if the Invoice Type is set to Cost Plus.
10. Push to QBO/Xero
If your account is integrated with QBO/Xero, this option sends the timesheet data directly to QBO/Xero for accounting purposes. It ensures accurate payroll processing, keeps accounting records synchronized, and reduces the need for manual data entry between systems.
ℹ️ Note: This option is visible only when QBO/Xero integration is enabled.
11. Delete
Permanently removes the timesheet from the system.
ℹ️ Note: Deleted timesheets cannot be recovered, and this action may be restricted based on user permissions. It is recommended to avoid deleting approved or invoiced entries unless absolutely necessary.
Timesheet Filtering and View Options
At the top of the tab, Buildern provides a filtering panel that allows you to quickly sort, narrow down, and manage timesheet records. These controls are designed to improve review efficiency, simplify payroll processing, and support accurate job costing.
User – Filters timesheets by a specific team member, helping you review individual hours and prepare payroll.
Date – Filters entries by a selected date or date range for payroll review and time analysis.
Label – Sorts timesheets by assigned labels to improve organization and reporting.
Cost Code – Displays entries linked to a specific cost code for job costing and budget tracking.
Status – Filters timesheets by workflow state (Clocked in,Pending, Approved, Rejected) for approval and payroll management.
Invoiced – Identifies whether timesheets have been billed to help track billable and non-billable hours.
View Options - Allows you to change the layout of the tab and choose which filters are visible, customizing the view based on your needs.
Export (Download Icon) – Allows you to download filtered timesheet data for reporting, payroll, or accounting purposes.
ℹ️ Note: All steps described above apply to the Buildern mobile app as well, with the same options available in the timesheet action menu.
