How to Add Timesheets in Buildern Mobile App

Managing timesheets from the field ensures accurate labor tracking, job costing, and smooth payroll processing. Buildern’s mobile app lets team members clock in/out in real time or submit manual timesheets when needed. This guide explains both options.


The core functionality of Timesheets remains the same as in the Web version. For a detailed explanation refer to the Using Timesheets on Web article.



How Timesheets Work in the Mobile App

In the Buildern mobile app, timesheets can be created in two ways:

• Clock In/Out - Track time in real time while working on-site.

• Manual Entry - Add or adjust worked hours after the fact.

Option 1: Clock In/Out via the Mobile App

Buildern’s mobile app (available for iOS and Android) allows field teams to clock in when starting work and clock out when finishing.

How It Works:

Step 1: Open the Buildern mobile app and go to Timesheets.

Step 2: Tap the green Play (▶) button.

Step 3: Select the Project and tap Continue.


Step 4: Review or set the Start Time, then tap Clock In.

The system automatically records worked hours. This method ensures real-time, accurate labor tracking directly from the job site.

ℹ️ Note: Only one active timer can run at a time per user. If you forget to clock out, the timer will continue running until manually stopped.

To Clock Out

Step 5: Tap the active timer bar at the bottom of the screen.

Step 6: Review the details .

Step 7: Add Work Item, Cost Code, Labels, or Break Time if needed.

Step 8: Tap Clock Out to save the timesheet.

ℹ️ Note: Access to the Timesheets feature depends on user roles and company permission settings. Some users may only be able to create or edit their own entries, while managers or administrators may have permission to review, approve, or modify timesheets.

Option 2: Add Manual Timesheets

Manual entries are useful when:

  • Logging backdated hours

  • Correcting missed clock-ins

  • Recording time for specific cost codes

Steps to Add Manual Timesheets via Mobile:

Step 1. Open the Timesheets tab

Step 2. Click the + icon (top right corner)

Step 3. Fill in the required details:

  • User – Select the team member the timesheet is assigned to.

  • Date – Choose the work date.

  • Start Time – Enter when the work began.

  • End Time – Enter when the work finished.

  • Work Item – Select the related task or scope of work.

  • Cost Code – Assign the appropriate cost category for job costing.

  • Hourly Cost – Define the labor rate for accurate cost calculation.

  • Labels – Add tags to help with filtering and reporting.

  • Break Time – Enter unpaid break duration (automatically deducted).

  • Enable Send to Xero – Send the timesheet to Xero if integration is enabled.

  • Description – Add notes about the performed work.

  • Attach Files – Upload supporting documents or site photos if needed.

💡 Tip: If a team member works on different tasks or cost categories during the same shift, you can split a single timesheet into multiple entries.

Step 4. Click Save

The timesheet will appear with Submitted status.
