How to Copy a Bid Request / Request for Quote (RFQ) to an Estimate in Buildern

Buildern allows you to quickly copy confirmed bid data into your estimate, keeping your project financials accurate and aligned with actual pricing. In this article, you will learn how to transfer bid responses into your estimate.


Copy a Bid to an Estimate

Follow the steps below to bring your bid data into your estimate:

1. Access Bid Requests

Start by opening your project and navigating to the Bid Requests / RFQs section.

This is where all your bid packages and vendor responses are stored.

2. Review Vendor Responses

Find the bid request you want to work with and click View Offers.

Here, you can review how each subcontractor or vendor responded - including their pricing, terms, and details. This helps you decide which bid you want to incorporate into your estimate.

3. Select Copy to Estimate

Once you’ve chosen the appropriate bid:

  • Click the three-dot (⋯) menu

  • Select Copy to → Estimate

This action begins the process of transferring vendor pricing into your estimate.

4. Match Bid Data with Your Estimate

After selecting Copy to → Estimate, a configuration window will appear.

This screen allows you to review the bid details and define how they will be applied to your estimate.

  • Left side (Bid) – Displays the subcontractor’s submitted data, including cost code, quantity, unit price, tax, and total cost (incl. tax)

  • Right side (Estimate) – Select the corresponding estimate item from the dropdown and apply a markup (%) if needed. The final amount is calculated automatically

Additional options:

  • Amounts are (Inclusive / Exclusive) – Define how tax is applied


  • View result – Preview how the updated values will affect your estimate totals


Once everything is configured and reviewed, click Copy to Estimate to apply the changes and update your estimate.

Buildern will instantly update your estimate and redirect you to the Estimate module, where you’ll see the updated values reflected in your calculations.

ℹ️ Note - If your bid request was originally created from the estimate, Buildern automatically remembers these connections, saving you time and eliminating the need for manual matching.
