Grant Portal Access to a Contact
Since subcontractors/vendors can now have multiple contacts, access is assigned per contact.
Follow these steps:
Inside Contacts > Sub/Vendors section locate the contact you want to grant access to
Click the ⋯ (three dots) next to the contact
Select Grant access to portal
Send an Invitation
After selecting Grant access to portal, complete the setup:
Email address - Pre-filled or enter the contact’s email
Project access - Select one or multiple projects this contact should access
Then:
Click Save
The contact will receive an email invitation to access the portal.
After clicking the button the portal opens directly in a web browser.
On this page, they can:
Enter their Email and Password if they already have an account
Click Sign up to create a new account if they are a first-time user
Once access is granted, you can verify it directly from the Sub/Vendors list.
💡 Tip – Contacts will only see the projects and information you’ve shared with them, ensuring controlled access and visibility.
💡 Tip - This view helps you quickly identify which contacts already have access and which still need to be invited.
Once the contact accepts the invitation, they become a free user in Buildern and gain access only to the projects you assigned to them. If a subcontractor or vendor has multiple contacts, each contact can have different project access and permissions, allowing you to control visibility and collaboration on an individual level.
Verify Portal Access
Once access is granted, you can verify it directly from the Sub/Vendors list.
This view helps you quickly identify:
Which contacts already have access
Which contacts still need to be invited
💡 Tip – If a subcontractor or vendor has multiple contacts, each contact can have different project access and permissions, allowing you to control visibility and collaboration on an individual level.
Preview the Portal
You can preview the portal to see exactly how it will appear for the invited contact.
Click the ⋯ (three dots) next to the contact
Select Preview portal
This helps ensure:
Correct project visibility
Proper access to relevant workflows
Resend an Invitation
Once the contact accepts the invitation, they automatically become a free user in Buildern.
If you need to resend the invitation later, follow these steps:
Go to Contacts > Users
Locate the user
Click the ⋯ (three dots) at the end of the row
Select Resend invitation
ℹ️ Note – After a subcontractor/vendor becomes a user, invitation management and role-related actions are handled from the Users page instead of the Sub/Vendors page.
Collaborate Through the Portal
Once invited, subcontractors and vendors can collaborate on the projects they are involved in directly through Buildern.
The Sub/Vendor Portal helps keep communication, files, and workflows centralized while giving external collaborators controlled access only to the information relevant to them.
This creates a more organized and efficient collaboration process between builders, subcontractors, vendors, and project teams.
