How to Manage and Organize Sub/Vendors in Buildern

Buildern provides powerful tools to help you efficiently manage, organize, and navigate your subcontractors and vendors. In this article, you’ll learn how to use the available tools in the Sub/Vendors list to streamline your workflow.


Use Search and Filters

At the top of the page, Buildern provides tools to quickly find and organize your sub/vendors.

Collapse All - Click Collapse all to hide expanded contact rows and display only the main company-level information.

Search - Use the Search bar to quickly locate a subcontractor or vendor by name or related details.

Labels Filter - Use the Label dropdown to filter sub/vendors based on assigned labels (e.g., Carpentry, Electrical).


Customize the List View

Buildern allows you to adjust how information is displayed in the table.

Layout Settings - Use the layout icon to customize visible columns in the table.

You can control which fields are shown, such as:

  • Email

  • Business number

  • Mobile number

  • BIN

  • Address

  • Labels

  • Access

  • Responsibility

💡 Tip - Customize your layout to focus only on the information relevant to your workflow.


Download Sub/Vendor Data

Click the Download icon to export your sub/vendor list.

This allows you to:

  • Keep offline records

  • Share vendor data externally

  • Use the data for reporting purposes


Manage Sub/Vendors Using the Actions Menu

In the Sub/Vendors list, each subcontractor/vendor can include multiple contacts, which are displayed in a structured, expandable format.

Each subcontractor/vendor includes a ⋯ (three dots) menu with quick actions

Click the menu to access the following options:

View -Open the full profile to review all details, including contacts, documents, and settings.

Edit - Update company details, contacts, financial settings, and more.

Merge - Combine duplicate subcontractors/vendors into a single profile.

💡 Tip - Use merge feature to clean up duplicate entries and keep your data organized.

Remove - Delete the subcontractor/vendor from your list.

ℹ️ Note - Removing a sub/vendor may affect related records such as bids, purchase orders, or estimates.

When clicking on the 3 dot icon from the sub/vendor line itself, there will be one extra option to preview portal.

Preview Portal - View how the subcontractor/vendor will see their portal.
