How to Edit a Purchase Order or Subcontract Preview in Buildern

Purchase Order and Subcontract preview settings allow you to customize how your documents appear before they are sent to vendors and subcontractors. In this article, you'll learn how to access preview settings and customize the document layout.


📋 Requirements

Before you begin, make sure:

  • You have access to a project

  • A Purchase Order or Subcontract has already been created


Open a Purchase Order or Subcontract

There are two ways to access a Purchase Order or Subcontract in Buildern.

Method 1: From a Project

  1. Open your project.

  2. Navigate to POs and Subcontracts.

  3. Locate the Purchase Order or Subcontract you want to edit.

  4. Click the PO/SC ID or select Edit from the ⋯ (three-dot menu).

Method 2: From All Items

  1. Navigate to POs and Subcontracts under All Items.

  2. Locate the Purchase Order or Subcontract.

  3. Click the PO/SC ID or select Edit from the ⋯ (three-dot menu).

The POs and Subcontracts section under All Items displays Purchase Orders and Subcontracts from all projects in your Buildern account. This allows you to manage and locate documents across multiple projects from a single location.


Access Preview Settings

  1. Open the Purchase Order or Subcontract.

  2. Click Preview.

The Preview window will open, allowing you to customize the document's appearance before sending it.


Configure Layout Settings

The Layout Settings panel allows you to control what information is included in the final document.

1) Cover Image - The Cover Images section allows you to customize the cover page displayed on the Purchase Order or Subcontract.

To configure the cover image:

  • In the Preview window, locate Cover Images.

  • Click the arrow (>) next to Cover Images.

  • Enable or disable the Cover Images toggle depending on whether you want a cover page to appear.

Once you have selected the desired cover image, click Save or Update to apply your changes.

💡 Tip - Using a cover image helps create a more professional and branded appearance for Purchase Orders and Subcontracts sent to vendors and subcontractors.

2) Description - The Description section allows you to control whether the Purchase Order or Subcontract description is included in the final document sent to the vendor or subcontractor.

This is useful when you want to provide additional context, instructions, or project-specific information as part of the Purchase Order or Subcontract.

3) Cost Lines - The Cost Lines section allows you to control how cost information and line items are displayed in the final Purchase Order or Subcontract.

  • In the Preview window, locate Cost Lines.

  • Click the arrow (>) next to Cost Lines.

Use the available checkboxes to choose which details are displayed in the final document, including Item Description, Cost Code, Quantity, Unit Price, Amount, Subtotals, and other cost-related information.

4) Summary - The Summary section controls the financial summary displayed at the end of the Purchase Order or Subcontract.

To configure the summary:

  1. In the Preview window, locate Summary.

  2. Click the arrow (>) next to Summary.

  3. Choose whether to display the summary section.

  4. Select which tax information should be included in the document.

5) Attachments - The Attachments section allows you to include or exclude attached files from the final Purchase Order or Subcontract.

Attachments can include supporting documents, specifications, plans, or other files related to the Purchase Order or Subcontract.

6) Terms & Conditions - The Terms & Conditions section allows you to control whether your Terms & Conditions are included in the final document.

Including Terms & Conditions helps ensure vendors and subcontractors receive the contractual information associated with the Purchase Order or Subcontract.

Once you have configured the desired settings, click Save or Update to apply your changes.

ℹ️ Note - Changes made in the Preview window affect only how information is displayed in the document and do not modify the actual Purchase Order or Subcontract data.


Save a Layout for Future Use

If you frequently use the same document format, you can save your layout settings as a template.

To save a layout:

  1. Click Save Layout.

  2. Enter a layout name.

  3. Choose one of the following options:

    • Update Existing Layout

    • Save as New Layout

ℹ️ Note - Saved layouts are available for reuse when generating future Purchase Orders and Subcontracts, helping maintain consistent document formatting.


Save or Send the Purchase Order or Subcontract

After reviewing the preview:

  • Click Save to keep the document as a draft and send it later.

  • Click Send to immediately send it to the vendor or subcontractor.


Update an Already Sent Purchase Order or Subcontract

If changes are needed after a document has been sent:

  • Open the Purchase Order or Subcontract.

  • Update the preview settings as needed.

  • Click Update

When you click Update, Buildern opens the Send Purchase Order or Send Subcontract window, where you can review and customize the outgoing email before sending it to the recipient.

Once everything is reviewed, click Send to deliver the Purchase Order or Subcontract to the selected recipient.

💡 Tip - Use placeholders in the subject and message fields to automatically include document-specific information without manually updating each email.
