How to Sync Clients with Xero

Buildern allows you to sync client profiles with Xero contacts, helping keep customer information consistent across both platforms. In this article, you'll learn how to sync clients during Xero integration setup and directly from the client profile.


šŸ“‹ Requirements

Before you begin, make sure:

  • You have access to Buildern.

  • You have connected your Xero account to Buildern.

  • At least one client exists in Buildern or one customer contact exists in Xero.


Understanding Client Syncing with Xero

In Xero, a contact can be classified as:

  • Supplier

  • Customer

  • Both Supplier and Customer

Buildern maintains a clear distinction between Clients and Sub/Vendors. Only contacts classified as Customer or both Supplier and Customer in Xero can be synced with Buildern clients.


Option 1: Sync Clients During Xero Integration Setup

Clients can be synced while connecting Buildern and Xero or later through the Accounting Integration settings.

To sync clients during setup:

  1. Navigate to Settings > Accounting Integration.

  2. Connect your Xero account.

  3. Complete the integration setup until you reach the Sync Clients step.

The Sync Clients window contains two tabs:

  • Xero to Buildern - Xero contacts appear on the right side and Buildern clients are selected on the left.

  • Buildern to Xero - Buildern clients appear on the left side and Xero contacts are selected on the right.

For each client, choose one of the following options from the dropdown menu:

Not Matched - Select Not Matched if you do not want to link the client with a Xero contact.

Create New-Select Create New to create a new contact in Xero using the Buildern client information.

Existing Contact-Select an existing Xero contact to link it with the Buildern client. Once selected, the contact becomes unavailable for additional matches.

After reviewing all mappings, click Save.

ā„¹ļøNote - If you skipped client syncing during the initial setup, you can access the same Sync Clients window later from Settings > Accounting Integration and complete the synchronization at any time.


Option 2: Sync Clients from the Client Profile

You can also sync clients directly from the Client create or edit page.

To sync a client from the client profile:

  1. Click the People icon.

  2. Navigate to Clients.

  3. Create a new client or open an existing client.

4. Locate the Sync with Xero section.

5. Choose one of the following options:

  • Not Matched

  • Create New

  • Existing Contact

Click Save.

The client will be synchronized according to the selected option.


View Synced Clients

To identify clients that are already synchronized with Xero:

  1. Navigate to People > Clients.

  2. Locate the Sync column.

Clients that are synced with Xero display the Xero icon in the Sync column. Clicking the icon opens the corresponding contact record in Xero for quick access and review.
