Managing Multiple Vendor Contacts in Buildern

Buildern allows you to manage multiple contacts under a single subcontractor or vendor record to keep vendor information organized, ensure communications control notification and portal access settings for each contact individually. In this articl


📋 Requirements

Before you begin, make sure:

  • You have access to Buildern.

  • You have permission to manage Sub/Vendors.

  • At least one subcontractor or vendor exists in your account.


Add Contacts to a New Vendor or Subcontractor

To add contacts while creating a new vendor:

  1. Navigate to People > Sub/Vendors.

  2. Click Add Sub/Vendor.

  3. Enter the company information.

  4. Scroll to the Contacts section.

  5. Click Add Contact.

  6. Enter the contact's:

    1. Name

    2. Email address

    3. Mobile number

  7. Configure notification preferences by selecting which Buildern items the contact should receive notifications for.

  8. To provide access to the Vendor Portal, enable the Grant Access checkbox.

  9. Repeat the process to add additional contacts as needed.

  10. Save the vendor record.

ℹ️ Note -There is no limit to the number of contacts that can be added to a subcontractor or vendor.


Add Contacts to an Existing Vendor or Subcontractor

To add a contact to an existing vendor:

  1. Navigate to People > Sub/Vendors.

  2. Locate the subcontractor or vendor.

  3. Click the vendor name or click the ⋯ (three-dot menu) and select Edit.

  4. Scroll to the Contacts section.

  5. Click Add Contact.

  6. Enter the contact information and notification preferences.

  7. Click Save.


Edit a Contact

To update an existing contact:

  1. Click the contact's ⋯ (three-dot menu).

  2. Select Edit.

  3. Update the contact details, notification preferences, or portal access settings.

  4. Click Save


Remove a Contact

Contacts can be removed from either the vendor record or the Sub/Vendors list.

Option 1: Remove from the Vendor Record

  1. Open the vendor record in edit mode.

  2. Locate the contact.

  3. Click the contact's ⋯ (three-dot menu).

  4. Select Remove.

Option 2: Remove from the Sub/Vendors List

  1. Navigate to People > Sub/Vendors.

  2. Locate the contact beneath the vendor record.

  3. Click the contact's ⋯ (three-dot menu).

  4. Select Remove.

ℹ️ Note - Removing a contact permanently deletes that contact from the vendor record.


Additional Contact Actions

Each contact includes a ⋯ (three-dot menu) that provides quick access to additional actions.

Available actions include:

  • View

  • Edit

  • Remove

  • Merge

  • Grant Access

  • Preview Portal

Managing multiple contacts allows you to keep vendor communication organized while controlling notifications and Vendor Portal access for each individual contact.
