Requirements
Before you begin, make sure:
Your Buildern account is connected to Xero.
Xero Payroll has been configured with the appropriate pay frequencies.
Employee records have been created in Xero Payroll.
You have permission to manage Timesheets and Accounting Integrations in Buildern.
ℹ️ Note - Timesheet synchronization is currently supported only for the Australian version of Xero Payroll.
Sync Users with Xero Employees
Before timesheets can be synced, Buildern users must be matched with employee profiles in Xero.
Navigate to Buildern Company Settings > Accounting Integration.
Click Sync Users
The Sync Users window displays Buildern users on the left and corresponding Xero employee profiles on the right.

For each Buildern user, you can:
Leave the user as Not Matched.
Select an existing employee profile from Xero.
Because Buildern users and Xero employees have a one-to-one relationship, each Xero employee can only be assigned to a single Buildern user. Once selected, the employee profile becomes unavailable for other user mappings. After completing the mappings, click Save.
Create and Sync a Timesheet
Navigate to a project or All Items > Timesheets.
Click Create Timesheet.
Complete the timesheet information.

4. Review the timesheet details.
5. Enable the Send to Xero checkbox.
6. Click Save.
The Timesheet will be created in Xero:
Identify Synced Timesheets
In All Items > Timesheets, the List View includes a Sync column.
When a timesheet has been successfully synchronized, a Xero icon appears in the Sync column.
You can click the Xero icon to open the corresponding timesheet directly in Xero.
Update and Re-Sync a Timesheet
If changes need to be made after a timesheet has been created:
Navigate to All Items > Timesheets.
Locate the timesheet.
Click the ⋯ (three-dot menu) and select Edit.
Update the required information.
Verify that Send to Xero is enabled.
Click Save.
The updated timesheet information will be synchronized with Xero.
Resolve Timesheet Sync Errors
In some cases, Buildern may display a synchronization error when attempting to send a timesheet to Xero.
A common cause is that the timesheet user has not yet been linked to a Xero employee profile.
When this occurs, Buildern displays an error notification and provides options to resolve the issue.
You can match the Buildern user with an existing employee profile in Xero.
After the user has been successfully linked, save the changes and sync the timesheet again.
