How to Enable and Manage the Buildern AI Assistant

Buildern's AI Assistant helps you streamline everyday workflows and get project information faster. In this article, you'll learn how to activate the AI Assistant, purchase and manage AI seats and credits, and control which users have access.


Buildern's AI Assistant helps you streamline everyday workflows and get project information faster without manually navigating through different areas of your account.

With the AI Assistant, you can perform tasks such as:

  • Create new estimate versions

  • Calculate project timelines

  • Generate new projects

  • Analyze project budgets

  • Review client invoices

  • Get information about your projects and workflows

  • And more

This article explains how to activate the AI Assistant, purchase and manage AI seats and credits, and control which users have access.

ℹ️ Note - AI Assistant access is billed at $50 USD per seat, per month. AI credits are managed separately.


Activate the AI Assistant

To get started, log in to your Buildern account.

From the top menu, click AI Assistant in the upper-right corner.

The AI Assistant chat panel will open on the right side of your screen. Click Activate AI to begin the setup.

A new window will open where you can configure your AI Assistant subscription.


Select Users Who Will Have AI Access

During activation, Buildern will automatically display your General Admin users.

Select the users you want to give access to the AI Assistant. You can keep access limited to one user or select additional users depending on your team's needs.

Each selected user requires an AI seat at $50 USD per month. For example, if you select four users, your monthly AI seat cost will be $200 USD.

How prorated billing works

Your initial AI charge is calculated according to your existing Buildern billing date.

For example, if you activate the AI Assistant on the 15th and your regular billing date is the 17th, you will initially be charged only for the two days remaining until your billing date.

On the 17th, your regular billing cycle begins, and you will be charged the full monthly amount for the next billing period.

This keeps your AI Assistant billing aligned with your existing Buildern billing cycle.


AI Credits

Your AI Assistant subscription automatically includes 500 AI credits.

If you need more credits, you can purchase additional credits during activation. Use the dropdown menu to select the number of additional credits you want to purchase. The corresponding price will be displayed based on your selection.

Automatically reload AI credits

You can enable Auto-reload credits if you want Buildern to automatically purchase additional credits for you.

First, select the number of credits you want to purchase from the dropdown. For example, you can select 10,000 credits.

Then, enable Auto-reload credits and choose the balance at which the reload should occur.

For example, you can configure Buildern to automatically purchase another 10,000 credits when your balance reaches:

  • 0 credits, or

  • A specified balance, such as 60 credits

Once your available credit balance reaches the selected threshold, Buildern will automatically reload the configured number of credits.

💡 Tip - Auto-reload helps prevent interruptions when your team uses the AI Assistant regularly.


Manage Your AI Subscription and Billing

After activating the AI Assistant, you can manage your seats and credits at any time.

Click your profile icon and navigate to Subscription and Billing.

Here, you can review your AI-related subscription information, including your billing cycle, AI seats, additional credits, and upcoming charges.


Add More AI Seats

Under your AI subscription details, you will see the monthly billing cycle and the $50 USD per seat charge.

Click the + icon to purchase an additional AI seat.

After selecting the number of seats you want to add, click Confirm and Pay.

You will then be prompted to assign the newly purchased seat to a user.

If you do not want to assign the seat immediately, click Cancel. The seat will remain available in your account, and you can assign it to a user later.

Purchasing a seat and assigning it to a user are separate actions. This allows you to purchase additional capacity now and decide who should receive AI access later.


Remove AI Seats

If you no longer need a seat, go to your AI subscription settings and click the icon to reduce the number of seats.

Confirm the change.

Buildern will display a Next period total, showing the amount you will be charged on your next billing date based on the updated number of seats.

You can also manage and purchase additional AI credits from this section.


Enable or Disable AI for Individual Users

You can control which team members have access to the AI Assistant without changing your subscription each time.

Navigate to People → Users.

A new AI Enabled column shows the AI access status for each user. Users who currently have access will be marked as AI Available.

To remove AI access from a user:

  1. Find the user and open the three-dot action menu.

  2. Select Disable AI.

Disabling AI for a user makes that AI seat available to be assigned to someone else.

To give another user access:

  1. Find the user you want to give AI access to.

  2. Open the three-dot action menu.

  3. Select Enable AI.

You can enable AI for the user as long as you have an available AI seat.

⚠️ Important - Disabling AI access for a user does not necessarily remove the paid seat from your subscription. If you want to reduce the number of seats you are billed for, update your seat quantity separately under Subscription and Billing.

How to Use the AI Assistant

Once the AI Assistant has been activated, users with AI access can start using it directly from their Buildern account.

Click AI Assistant from the top menu to open the AI chat.

Navigate the AI Assistant

The AI Assistant includes several controls to help you manage your conversations:

  • Chat history: Click the three-line menu in the upper-left corner to view your previous AI conversations. From here, you can reopen previous chats, rename them, or delete conversations you no longer need.

  • New chat: Click the + icon to start a new conversation.

  • Full screen: Click the full-screen icon to expand the AI Assistant. Click it again to return to the regular Buildern view.

  • AI usage: Click the usage icon to see how many AI credits have been used.

  • Information: Click the information icon for a quick walkthrough of the AI Assistant and its functionality.

Start a Conversation

At the bottom of the AI Assistant, Buildern provides a selection of commonly used questions and actions to help you get started.

Click Show more questions to view additional suggestions.

These suggestions are designed to cover common workflows, but you are not limited to the questions displayed. You can also type your own request into the chat. If your request falls within the capabilities of the Buildern AI Assistant, it will process the request and guide you through the next steps.

Provide Context and Details

Depending on your request, the AI Assistant may need additional information to complete the task.

For example, if you want to create a new estimate version, you can select the corresponding suggested question or enter the request manually.

You can then provide the necessary context, such as:

  • The project you want to work with

  • Your target budget

  • Requirements for the estimate

  • Any other relevant instructions

You can also attach files or record a voice message to provide additional information.

Once you have provided the necessary details, click Send.

Review AI-Generated Changes Before Applying Them

For actions that make changes to your Buildern data, the AI Assistant can first generate a draft for you to review.

For example, when creating an estimate version, the AI Assistant will generate the estimate as a draft. It will not automatically apply the generated estimate to your project.

Review the generated information and, when you are ready, click Apply to Project.

You can then choose whether you want to:

  • Add the generated information to an existing estimate version, or

  • Create a new estimate version

This gives you the opportunity to review AI-generated results before applying them to your project.

How AI Credits Work Across Your Team

ℹ️ Note - AI credits are shared across all AI-enabled users in your account. For example, if your account has 500 available AI credits and two users have access to the AI Assistant, both users will use credits from the same 500-credit balance. The 500 included credits are not provided separately for each AI seat.
