Manage Bid Request Actions
From the Bid Requests / RFQs list, you can manage each bid request using the three-dot (⋯) menu in the Actions column. This menu provides quick access to all available operations.
Follow the steps below to update your bid request:
1. Access Bid Requests
Start by opening your project and navigating to the Bid Requests / RFQs section.
This is where all your bid requests are stored and managed.
2. Open the Bid Request
Find the bid request you want to update and click on the 3-dot icon.
Available Actions
Edit – Update bid request details such as scope, dates, vendors, or cost lines.
View – Open the bid request in read-only mode to review details.
Send – Send the bid request to selected vendors to collect responses.
Duplicate – Create a copy of the bid request for reuse.
Preview – See how the bid request will appear to vendors before sending.
Copy to – Copy the bid request to another project.
Close – Mark the bid request as closed to stop vendor responses.
Delete – Permanently remove the bid request.
Use Bid Request Actions
Below is a breakdown of each available action and how to use it:
1. Edit a Bid Request
Click Edit to open the bid request form and update its details.
You can modify information such as vendors, dates, scope of work, attachments, and cost lines.
Once done, click Save to apply your changes.
2. View a Bid Request
Select View to open the bid request in read-only mode.
This is useful when you want to review details without making changes.
You can also edit a bid request directly from the view page clicking the Edit (pencil) icon in the top-right corner. Other quick actions include viewing offers, checking who has seen the bid request, and previewing the request.
3. Send a Bid Request
Click Send to distribute the bid request to selected vendors.
Once sent, vendors will be notified and can submit their bids.
ℹ️ Note - If the bid request has already been sent, updating it may affect vendors’ responses. It’s recommended to notify vendors about significant changes.
4. Duplicate a Bid Request
Use Duplicate to create a copy of the bid request.
You can then edit the duplicated version instead of creating a new one from scratch.
💡 Tip - Use Duplicate when creating similar bid requests to save time.
5. Preview a Bid Request
Click Preview to see how the bid request will appear to vendors.
This helps you verify all details before sending.
💡 Tip - Use Preview before sending to ensure all details are accurate and complete.
6. Copy a Bid Request to Another Project or Template
Select Copy to to copy the bid request into another project or template.
This is useful when working with similar scopes across multiple projects.
7. Close a Bid Request
Click Close to stop accepting vendor responses.
Once closed, vendors will no longer be able to submit or update bids.
ℹ️ Note: Some actions (such as Close) may be unavailable depending on the bid request status,
8. Delete a Bid Request
Use Delete to permanently remove the bid request from your project.
This action cannot be undone.
Manage Bid Responses from View Offers
Once you click View Offers, a new window opens where you can review and manage all submitted bids from subcontractors and vendors.
This section allows you to compare responses, take actions, and convert bids into project documents.
Available Actions in View Offers
From the three-dot (⋯) menu next to each bid, you can access the following options:
View – Open the full bid response to review detailed pricing, comments, and attachments
Send – Send the bid request to vendors (if not already sent)
Reject – Mark the bid as rejected
Copy to – Copy the selected bid into:
Estimate
Create – Generate related documents directly from the bid:
Purchase Order
Subcontract
Bill
Add to – Add the bid to an existing document or workflow
Purchase Order
Subcontract
Bill
Send test email – Preview how the bid request email appears to vendors
Watchers – Add or manage users who will receive updates on this bid
Submit manually – Add a bid response on behalf of a vendor
Additional Actions in View Offers
When managing bid responses from the View Offers screen, you get access to additional actions that are not available in the main Bid Requests list.
1. Reject a Bid Response
Use Reject to mark a vendor’s bid as not accepted.
2. Copy a Bid to an Estimate
Use Copy to → Estimate to transfer a vendor’s bid directly into your estimate.
This allows you to replace estimated values with actual vendor pricing, ensuring your project costs stay accurate and up to date.
3. Create Documents from a Bid Response
Use Create to generate project documents directly from the selected bid.
You can create:
Purchase Order - Issue an order based on the vendor’s bid
Subcontract - Formalize the agreement with the subcontractor
Bill - Record payable amounts based on the bid
This allows you to quickly move from bid approval to execution without re-entering data.
💡 Tip - Use this option after selecting a winning bid to immediately generate the required project documents.
4.Add a Bid to Existing Documents
Use Add to to attach a bid response to existing project documents.
You can add the bid to:
Purchase Order
Subcontract
Bill
This allows you to incorporate vendor pricing into documents that are already created, without generating new ones.
💡 Tip - Use this option when you already have documents in place and want to update them with selected bid data instead of creating new ones.
5. Send a Test Email
Use Send test email to preview how the bid request email will appear to vendors.
This allows you to verify formatting and content before sending.
6. Manage Watchers
Use Watchers to add or manage users who should receive updates about the bid response.
Watchers will be notified about changes and activity related to this bid.
7. Submit a Bid Manually
Use Submit manually to add a bid response on behalf of a vendor.
This is useful when the vendor submits their pricing outside Buildern.
